AI/002Virtual assistants

Handle the first enquiry.
Keep the conversation going.

We create virtual assistants to handle enquiries on your website, through WhatsApp or by phone. They answer using your business information, collect requests and manage appointments, handing over to your team when needed.

Answering enquiries
is just the beginning.

From a common question to a quote request or an appointment, the assistant handles the initial enquiry and gathers what your team needs to take it further.

/001

Customer service

Answer common questions about services, opening hours, terms and availability, using up-to-date information about your business.

/002

Appointments and bookings

Check a calendar, collect the necessary details and prepare or confirm an appointment. Help reschedule or cancel it too, within the agreed scope.

/003

Sales guidance

Help customers choose a product or service, explain the differences and gather what your team needs to prepare a quote.

/004

Handover to your team

Recognise when a person needs to step in and pass on a summary of the enquiry with the details already collected, so the conversation can continue without starting again.

Connected support.
Work that continues.

The conversation can continue in your calendar, CRM or business application. We connect the assistant to record requests, check availability and give your team the information they need to follow up.

A conversation, step by step
Renovation studio · Fictional example

I want to renovate my kitchen. Can you give me a quote?

We can prepare an initial estimate. How many square metres is the kitchen, and what would you like to change? Photos of its current condition would also help the team.

Supporting information
The studio's services and the details needed for an initial estimate.
Next step
Collect measurements, requirements and photos.

A conversation.
A system behind it.

The project brings these elements together around the agreed channel and features. The proposal sets out what you will receive in the first version.

/001

Conversation design

A defined flow for common enquiries, including the questions the assistant should ask and the tone of voice of your business.

/002

Reference information

A knowledge base built from your services, catalogue and frequently asked questions, with guidance on keeping it up to date.

/003

Channel and integrations

The assistant set up on the chosen channel and connected to the agreed tools: a calendar, CRM or business application.

/004

Handover and recording

A record of requests and a summary of each conversation your team needs to continue, delivered to the agreed destination.

/005

Testing and launch

A version tested against common conversations and error cases, with guidance on using and updating it.

  1. Choose a first use

Together, we review the enquiries you receive, who handles them and where time is lost. We choose an initial use case and agree how to assess whether it works.

  2. Prepare a first version

You provide your business information and the access we need. We prepare a first version for your team to try.

  3. Test with your team

Your team tests real enquiries and reviews the answers. We refine the content and conversation based on that review.

  4. Put it to work.

We launch the assistant on the chosen channel and support its initial use. We agree the maintenance arrangements and next improvements.

Your information.
Your criteria.

Responses and limits

We define what it can answer and when it should ask for help. If information is missing or an enquiry is outside its scope, the next step is to hand it over to a person.

Actions with confirmation

An information request needs a different level of oversight from a booking or a change to your systems. We agree which actions the assistant can take and which require confirmation.

Data and access

We establish what information it needs, where it is recorded and which providers are involved. Access to your tools is limited to the assistant's agreed functions.

Before we start.

(7)
Can it be on my website, WhatsApp or on the phone?

Yes. We can set it up on your website and connect channels such as WhatsApp or phone. We choose the initial channel around the enquiries you receive and set out its requirements, integrations and running costs.

Is it the same as a chatbot with fixed answers?

A chatbot with fixed answers follows a predefined flow. An AI assistant can interpret questions phrased in different ways and look up business information. We combine both approaches when particular answers or steps need to stay fixed.

Can it book appointments or update my CRM?

Yes, if your calendar or CRM supports that connection. We define what information it can read, what it can change and which actions need confirmation.

What happens if it cannot answer?

We design a handover to your team for unanswered enquiries or those that need review. The assistant gathers the context and passes it on through the agreed channel. We test this behaviour before launch too.

What do I need to provide to get started?

Your common enquiries, up-to-date business information and someone on your team who can review the answers. For integrations, we also review access to your tools.

How much does it cost, and what ongoing costs are there?

The proposal depends on the channel, sources and connections. We separate implementation from recurring costs such as hosting, AI usage, messaging, voice and maintenance where applicable.

Can it also search internal documents?

Yes, although the approach is different: it involves internal documentation and access for individual users. We cover this through our AI integration service.
