AI/005Intelligent document management

From the document
to useful information.

We turn invoices, forms and scanned documents into data you can review and use. We classify files, extract fields and connect the information to your business tools.

Less transcription.
More information at hand.

An invoice to record, a scanned form or a case with several files: we prepare the data so work can continue without copying it again.

/001

Invoices and supporting documents

Identify relevant fields and prepare data for review and subsequent entry.

/002

Cases and requests

Classify files by their content and link them to the relevant subject, client or process.

/003

Contracts and documentation

Make searching, summarising and finding information easier for the person who needs to interpret it.

/004

Document organisation and search

Organise documents so they can be found and used in your workflows and tools.

From your files
to a reviewable record.

We work with sample documents to define what to recognise, what to extract and how results will be checked before use.

From an opportunity
to a useful solution.

We define the incoming documents, the data you need and where it will be used. The first version is checked against a representative sample of your files.

/001

Sample documents and field definitions

We identify document types, format variations and the data needed for your process.

/002

Reading and classification

We set up content recognition and document organisation for the agreed scope.

/003

Validation and exceptions

We define checks, human review and how missing fields or uncertain results are handled.

/004

Output and integration

We deliver the data in an agreed format or connect it to your application, depending on the access available.

/005

Handover and continuity

We hand over the access, documentation and guidance covered by the agreed scope. Follow-up or maintenance is defined separately if commissioned.

  1. Review a sample

You share examples of common formats, including documents that are hard to read or have missing fields.

  2. Define the extraction

We agree which fields to find, how to classify files and what checks each piece of data needs.

  3. Check the results

Your team compares the extracted data with the originals. We refine recognition and identify cases that need review.

  4. Prepare the output

We provide a structured file or connect the result to your system, with review before recording it where appropriate.

Clear criteria.
Control at every step.

Original and result

Review should allow the extracted data to be compared with its source document.

Uncertain fields

An unreadable or missing field needs review. We define when output is held back for your team to check.

Recording and retention

We agree where files and results are stored, who can access them and what data is sent to each provider.

Can you read scanned documents or photographs?

We can assess this with a sample. Legibility, format and variation affect the result, so representative documents are tested before wider use.

Can the data go straight into our accounting system?

Integration may be possible if your tool supports it. We define the checks and review needed before records are created; extracting a figure does not validate it for accounting purposes.

Do I need all my data ready?

Not for the first conversation. We need a representative sample and someone who knows the process. Organising or cleaning the information is assessed as part of the scope.

What costs are involved after implementation?

Depending on the solution, ongoing costs may include model usage, hosting, licences or connected services. The proposal separates these from development and any agreed reviews or improvements.

Can we start with a small test?

Yes. We can define one process, its sources and evaluation criteria before extending its use. A test helps assess value; it does not replace the checks needed for production.
